How are inventory levels synced with my e-Commerce stores, and what is synced?
In our other FAQs, we detailed how to set up your stores and configure them to communicate with your e-commerce stores. But what, how, and when exactly does Bizelo eRetail IPS keep inventory levels in sync with your e-commerce stores?
The Sync Flow
When you first set up your e-commerce store in Bizelo, it will automatically sync with your e-commerce platform and pull down a subset of your inventory information into Bizelo. Note: we only sync a subset of the information — not all of it! See below for more details on what we keep in sync. The reason why we do this first sync is so that we have the SKUs (Stock Keeping Units) set up in our system — this is how we know what to sync. If the SKU exists in Bizelo IPS and it exists in the e-commerce system, we will be able to keep these items in sync.
If you don’t have SKUs set up in your online e-commerce store, we’ll create them during the sync process, but only for our own internal processes – we won’t update your online store with these SKUs.
Then, our system either installs a webhook in the online e-commerce system or uses the plugin that you installed during the store process to get updates from your e-commerce system. Most of the time, these updates are orders that are sent to us so that we have the information we need for the Pick, Pack, and Ship processes as well as using the order quantities to update pooled stores.
Then, whenever a quantity changes or an order fulfillment status changes in the Bizelo system, we push these changes back up to your e-commerce system. This is the way we keep inventory quantities continuously in sync with all the systems.
What is being Synced, and what’s not?
Bizelo eRetail IPS only syncs the information that we need to maintain inventory management across all the systems. This includes the inventory item name, SKU, description, available quantity, and a few more bits of data. We do not store or manage much of the data that’s necessary to sell products — we just maintain the information necessary to keep track of that item’s inventory quantity. See below for more on this.
Does this mean that Bizelo IPS doesn’t upload new products into my e-commerce system?
That’s right! Bizelo IPS is a product that keeps product quantities in sync, not a centralized product management system. The products need to first exist in the online system for us to keep them in sync. If your e-commerce store doesn’t have a product that we’re tracking, then we won’t be able to keep that inventory in sync. This means that if you have new or changed products, you need to update your online e-commerce stores with that information, and Bizelo will pull that new product data from your systems. It doesn’t work the other way – we can’t push products into your e-commerce system. This is because we don’t even keep track of some basic product data such as images, brands, categories, discounts, tax levels, and payment data that’s necessary to sell inventory.
